Are you interested in organizing an event? I’m a self learned event organizer and marketer and I would like to share a my best tips to you, so you can do it easier than I! At First me neither didn’t have a much experience, but now there is eight successful events behind me over two years!
Unique event and branding
Me and my friend Ranja Filppa created a popular second hand pop up -event focused on children’s clothes and accessories in Rovaniemi. Our brand is popupkirppisrovaniemi. We were both on maternity leave when we found out a problem what needs to be solve: Rovaniemi didn’t have a children’s second hand shop. The most important thing is that the event has a future, when branding makes sense. But also you need to trust your intuition! Thinking too much to the future is bad for creativity.
My tips for organizing and marketing
Start with these basic things:
- Facilities and supplies (rent, borrow, buy used)
- Announcement of public event to the local police department and rescue plan to the rescue department. This depends on the type of the event and the number of participants. In general, events with more than 200 participants at the same time are good to announce.
- Muscle power and a amount of volunteers you think you need.
- It is better to act too early than too late. The event week and day are busy!

Social media is your best friend
A low cost and definitely the most important marketing tool is social media. By creating business accounts on Facebook and Instagram, you can track the number of viewers and buy paid ads.
- Design, get printed and share ads to mailboxes. (The original mailboxes, you know.)
- Add your event to city event calendar
- Let the media know you
- Create a Facebook event. Every time someone clicks “interested/participating you will go more viral on Facebook.
- Publish only valuable content on your social media. Activate your followers by Instagram stories and make reels. They get much more visibility than a picture on feed.
- Use a advocacy marketing with sellers (they can share your content too!)
- Use Canva to make professional ads and social media posts. Super pro tip: Get the Canva Pro. It’s worth it!
- Use the photographer if possible.
The event's good reputation markets itselfs, so it's worth taking care of it. Marketing the next event is easier when the participants are engaged.
Feelings after all
Organizing and marketing an event can be quite intense and stressful, I won’t deny it. There is a lot to do and limited time. Even though we don’t benefit much money, it’s great to be creating a sustainable event for families with children in Rovaniemi!
